P4's: PhORCAS for Residency References

ASHP recently introduced PhORCAS (Pharmacy Online Residency Centralized Application), a web-based tool that brings residency application material together in one location. On November 19, 2012 PhORCAS will offer references writers a streamlined process in that it is all completed in one location and online. The process of how request for letters will be handled and the responsibilities of the reference writer are described below. Applicants will create an account on PhORCAS to input their information and required documents as well as input their reference writers. Reference writers will receive an electronic notification from PhORCAS and will be required to login into the system. Once in PhORCAS, the reference writer will need to complete the "Standardized Reference Template". The template includes sections about how long have you know the candidate, how much interaction in a typical week, the relationship with the candidate (faculty, preceptor, employer, etc) and twelve (12) characters to be evaluated using a rating scale of exceeds, appropriate, fails to meet, or not applicable. The reference writer is then asked to comment on three (3) of the characteristics as well as additional questions depending if it is a PGY1 or PGY2 applicant. The essence of the template is to provide all the details that would be shared in a written reference letter. The reference writer must complete the "Standardized Reference Template" and has the option to include a traditional letter of reference should it be a request of a particular program. Once the information is completed, the reference writer submits it electronically and is notified when the submission has been received by PhORCAS. The applicant is notified that the reference letter has been submitted but does not have access to what information has been shared within the submitted template. The applicant is able to select what reference writers s/he would like to use for each program they applied to. As a reference writer, when you go to complete additional references for the same applicant, your completed standardized form will be available to use again, or to alter if you wish before sending to the next program. PhORCAS will be available for reference writers starting November 19.
