Relocation Policy

Wilkes University is committed to attracting and retaining a talented and diverse workforce.

As part this commitment, the University may conduct national and/or international employment searches. When necessary, the University will provide relocation assistance to the successful candidate in accordance with the following provisions:

Eligibility– Full time Exempt Administrators, Faculty and Staff employees whose primary residence is greater than 50 miles from Wilkes University at 84 West South Street, Wilkes Barre, PA 18766 may be eligible for relocation assistance. Relocation packages are not guaranteed and are negotiated on a case by case basis.

Authorization: Authorization is at the discretion of the Divisional Vice President or Dean in conjunction with the Assistant Vice-President/Chief Human Resources Officer.

Funding: The hiring division/department is responsible for funding all moving expenses.

Duration– Any assistance provided under the terms of this procedure will be provided within three months of the start date of employment.

Taxes– The total relocation lump sum dollar amount paid to the employee is subject to all applicable taxes and withholdings.

Categories of Approved Relocation Expenses – the following categories of expenses will be provided:

  1. Campus visit –The University will provide reimbursement for reasonable transportation, lodging and meal allowances for a campus and local area visit for the employee and significant other (if applicable) for a period of no more than five days. The employee will maintain records for expenses incurred and submit for reimbursement through accounts payable.
  2. Temporary living expenses – The relocating eligible employee (and dependents) will be eligible for travel expenses to the University and reasonable temporary lodging and meal allowances for a period of no more than 30 days and/or up to the applicable dollar limit. Receipts for temporary living expenses for lodging and meals will be submitted to the Human Resources department for reimbursement.
  3. Relocation of household goods – A moving allowance and related insurance coverage for household goods will be provided to the eligible employee. The employee will be responsible for obtaining three estimates from national residential moving services and submitting them to the department head and Human Resources prior to accepting any move proposal.
  4. Miscellaneous associated expenses –The University will also provide assistance for costs incurred with the move, including lease breakage reimbursement, utility costs for service hookups and related service charges. Expense records must be obtained and submitted to the Human Resources department for reimbursement.

Reimbursement – All eligible relocation expenses will be handled as a reimbursement(s) though the payroll cycle. The following lump sum dollar amounts may be paid for relocation:

Full Time Faculty and Exempt Staff up to $2,000.00

Full Time Administrators up to $7,500.00

Repayment Provision–In consideration of Wilkes University providing the allowance, the employee agrees not to voluntarily terminate employment with Wilkes University for a period of eighteen (18) months from his/her start date. An employee who voluntarily terminates employment with Wilkes University prior to completing eighteen (18) months of service agrees to reimburse Wilkes University the entire amount of the moving allowances that were paid. If the employee does not reimburse Wilkes University for all the monies owed, the employee hereby authorizes Wilkes University to withhold his/her final paycheck(s) including regular earnings, used and/or accrued, unused vacation time, personal time, and other paid time due up to the amount that owed to Wilkes University.
